Workspace Architecture

Our Notion workspace is roughly structured along the departmental divisions. We have different types of access to pages, depending on the content.

Workspace Pages

All company-wide pages can be found under the Workspace heading in the sidebar. This includes general resources and specific information from various divisions.

Shared Pages

These are pages that are only accessible to specific group of people. In general, we aim for more transparency, but we recognize that sometimes information must remain internal to a specific team. If possible, it's best for these pages to live within our division-based architecture. This way we reduce miscellaneous shared pages floating around in Notion.

Private Pages

These are pages just for you! We recommend using these for personal project management, planning, or note taking.

How to Move Pages

Pages in Notion are nested within each other. Sometimes you will need to move a page from one parent page to another. It is also one our best practices to nest pages within our page hierarchy rather than sharing them one-off, so moving pages to an intuitive location helps everything stay organized! Below are a few ways to move a page in Notion.
Note: You can only move pages that you have Full Access permission to.

Recommended Method: The Move To Menu

  1. There are two ways to access the Move To menu for a page.
    1. Option 1: Navigate to the page you want to move and click on the three buttons in the top right corner, then select Move To at the bottom of the menu.
Option 2: From any page, in your left-side navigation bar, hover over the name of the page. Then click on the three dots next to that page's name and select Move To at the bottom of the menu.
Option 1: Three dots in the upper right on a page opens a detailed menu.

2. Once the Move To menu pops up you will see lots of page options. If you see the destination page (the page you want to move your page to), then simply click on it.
You may not see the destination page immediately, but you can search for it. Unlike the left-side navigation bar this menu will not toggle, so you have to type into the search bar the destination page's name. Click on it to move your page to that destination page.

3. Your page will immediately move to the destination page and will inherit the share permissions of that destination page. You can change the permissions if needed. Note: If you do not have Full Access permission to the destination page you will not be able to edit your page's permissions.

Fast But Less Helpful Method: The Drag-n-Drop

  1. From any page, in your left-side navigation bar, find the page name of the page you want to move. Note: If your destination page is not already visible in your left-side navigation bar, you should also toggle the drop downs so that you can see it.

  1. Click and hold the page name of the page you want to move and drag it to the destination page (the same way you'd drag and drop a file on your computer into a different folder).

What happens if I moved a page to the wrong destination?

Have no fear! Sometimes you may accidentally move a page to the wrong destination page and you may not have the Full Access permission needed to move it again.
Fastest way to fix it: Go to the destination page that you accidentally moved your page to and see who does have Full Access. DM the page owner and ask them to move the page for you or share it with you so that you can move it.
Notion support can always help: Click on the ? in the bottom right of your screen and chat with Notion support to undo any accidental actions
